BASIC BUSINESS CONTINUITY PROTECTION OPTION

A dedicated pair of servers is configured for your company on the Google Cloud Platform. The servers are fully synchronized at all times. If your dedicated primary server becomes unavailable for any reason all services auto fail over to the secondary server reducing the probability of complete failure to virtually zero. Once your pair of servers is configured, your company points its MX record to your dedicated servers. Your emails now arrive at the cloud-based servers for processing prior to reaching your Exchange or other mail server.

All INCOMING emails and attachments are initially copied to the Continuity Console and indexed in real time. The emails and attachments are immediately accessible from the 1st Contact Continuity Console even during an Exchange or other mail server outage. The continuity process retains a rolling 30 days of incoming emails which are available any time via the 1st Contact web-based Continuity Console. From the Continuity Console users can view, reply to, forward and print emails and attachments as well as send new emails and attachments.

The email and attachments are then placed in a queue to be relayed to your mail server. If for any reason your mail server is unavailable, the incoming emails and attachments in the queue are held until your internal mail server becomes available, at which time they will be relayed. No emails will be lost or bounced back to the sender.

PREMIUM BUSINESS CONTINUITY PROTECTION OPTION

This option includes all the features of the 'Basic' option PLUS access to all OUTGOING emails, sent from your company's Exchange or other mail server. Your company configures the Exchange 'Journaling' feature or similar process to send every OUTGOING email to your cloud-based servers. The Exchange journaling process also sends all incoming emails. All emails and attachments received from your mail server are initially copied to the Continuity Archive Console and indexed in real time. The emails and attachments are immediately accessible from the 1st Contact Console under the Archive Console menu option.

The Continuity Archive retains a rolling 30 days of all OUTGOING as well as INCOMING emails and attachments which are available at all times via the 1st Contact web-based Continuity Archive Console. From the Continuity Archive Console users can view, reply to, forward and print emails and attachments as well as send new emails and attachments.

ARCHIVING & BUSINESS CONTINUITY PROTECTION OPTION

1st Contact Email’s Archiving and Business Continuity Protection Services are cloud-based and work in tandem with your Exchange or other mail server to provide true Off-Site Email Archiving with fully integrated Business Email Continuity.

The Archiving and Continuity Protection option includes all the features of the 'Basic' and 'Premium' options and adds features to create a complete Archiving solution.

You determine how long you want to retain your data and have access to it. Set any length of time from 1 month to 10 years. The processing power is scalable from 2 virtual CPU's to 30 virtual CPU's, and can be adjusted up or down as required. This allows the archiving process to be running in a 'normal' status, but if conditions arise that require quicker search and access times the CPU can be upgraded for as long as the requirement exists then downgraded to the normal status. You only pay for the increased processing power while you need it.

The archiving option includes 1 Terabyte (TB) of data storage. Each additional terabyte of storage is $60 per month. As your storage requirements grow additional storage can be added. You do not need to guess how much data you will need to store 2 years or 5 years or even 10 years in advance. Storage is scalable from 1 TB to 100 TB.

Upload history emails from PST files or directly exported files from your mail server. Assistance with loading history is available.

Simple and advanced searches can be made and the results can be stored as well as the search parameters. Emails and their attachments are indexed to allow full text searches.

All archived emails and attachments are 'finger printed' to allow verification that the saved documents have not been altered.

Spam and virus filtering is applied and suspicious email is quarantined before it reaches your mail server. Quarantines can be browsed, searched, viewed and or released. Specific email addresses or entire domains can be whitelisted or blacklisted to override the spam filter process. Each user has the option to receive up to 3 spam reports via email per day at times of their choosing. The email spam report lists all individual emails quarantined since the last spam report. Users can release or release and white list directly from their specific spam report listing.

What is the difference between a backup of an Exchange Information Store and archiving?

Backing up the information store backs up the data as it exists at the time the backup is made. Emails and attachments that are deleted between backups cannot be restored. 1st Contact Email’s archiving captures every email and attachment incoming and outgoing and saves that email, offsite where it can always be made available. A copy of the original email is stored as well as attachments. Metadata is captured for the indexing and searching capabilities in both the email as well as in the attachments.
